Call for Proposals

About the Call for Proposals

The Town of Cambridge are seeking proposals from both commercial and community groups who are interested in delivering events or activations in the Town of Cambridge in 2023 and/or 2024.

Submissions may be made at any time. However producers of major and regional events are strongly encouraged to submit their proposals before 1 May 2023 if they intend to approach the Town in 2023/24 with sponsorship or partnership proposals from the Town.

Only limited details will be required in your proposal submission. Further information will be sought at a later date, subject to the nature of your proposal. 

Types of proposals open for submission;

  • Major and Regional events (Category 4 or 5)

  • Markets,

  • Public and Community Art installations (both permanent and ephemeral),

  • Pop-up trading locations for small businesses,

  • Recreational equipment hire (scooters, beach equipment, pedal cars etc.),

  • Busking and street performance,

  • Creation of guides and trails,

  • Community workshops, classes and programs in Town spaces and places,

  • Other public realm interventions such as public parklets, creative street furniture etc.

 

Eligibility

You do not have to be local to the Town of Cambridge to make a submission. 

Proposals must be for an event or activation to be held within the Town of Cambridge, either wholly or in part. 

Proposals held in private venues and public spaces which are not listed in our hirable spaces will also be considered, so long as they are within the Town of Cambridge.

Submissions are open to:

  • Businesses
  • Not for Profits and incorporated community groups
  • Schools
  • Individuals with an ABN.

 

What do I need to include in my proposal?

All proposals must be submitted using the Callout for Events and Activations Proposals Form. The form is intended to obtain a high-level understanding of your proposal and only short answers to the following questions will be required:

  • Your name and contact information including any websites, social media handles and/or names of references who we can contact to know more about you.

  • The name of your event or activation, as well as some basic details to describe and easily identify your proposal amongst other submissions.

  • Your proposed location and dates (if you know them).

  • What level of support you would need to deliver your proposal.

  • Whether you plan to deliver this proposal at another location if not the Town of Cambridge.

  • Whether you have experience delivering this kind of proposal previously.

  • Why you think the Town should support your proposal.

  • Why your/your organisation should deliver this proposal.

You will be provided the opportunity to send supporting documents with your proposal.

 

When do submissions close?

Proposals for any kind of project may be submitted at any time. However submissions may be considered and assessed by the Town in the following rounds, depending on their nature.

Submissions for Major Event proposals will be considered, in accordance with the Town's standard event application procedure.
However the following guidelines and timeframes should be considered for all proposals and when planning your projects in general, particularly if seeking funding for your project.

 

 Round 1 - Recommended for all major proposals in 2023/2024

 Closing Date: May 1 2023

What will be considered
Events and projects which will be delivered from August 2023 to September 2024.

Requests for sponsorship or other financial support to be included for consideration in the Town's draft 2023/2024 Budget.

What will not be considered
Projects which will be delivered in the 2023/2024 Financial year which can be assessed or approved through the Town's existing grant or other programs may be held over for assessment until Round 2.

Project timing will be considered when making this determination.

 

Round 2 - Summer 23/24 Proposals

Closing Date: August 16 2023

What will be considered
Events and projects which will be delivered from October 2023 to September 2024.

In particular, mobile trading requests, pop-up activations and art projects across the Town during the warmer weather.

What will not be considered
Projects which are submitted in Round 2 which propose significant financial support may be held over for funding assessment until Round 3, regardless of date of delivery.

Round 3 - Winter 2024 Proposals

Closing Date: December 16 2023

What will be considered
Events and projects which will be delivered from February 2024 to October 2024.

Requests for sponsorship or other financial support to be included for consideration in the Town's 2023/2024 Budget Review process.

What will not be considered
Projects which will be delivered in the 2024/2025 Financial year which can be assessed or approved through the Town's existing grant or other programs may be held over for assessment until the following round.

Project timing will be considered in making this determination.

  

What happens once my proposal is submitted?

Following the closing date of each round, the Town's Community and Place Development teams will review the submissions. You may be contacted in the weeks following the closing date to provide additional detail to your proposal.

Based on the nature of the proposal, the Town will either;

  • Determine that the proposal is not supported and provide feedback to the submitter;

  • Determine that the proposal is able to be supported through existing permits, programs or other means and commence work with the submitter in the delivery of the proposal;

  • Request additional information and provide an updated timeline for assessment in consultation with the submitter;

  • Present the proposal to Council along with a preliminary assessment; to determine if the proposal is supported; or

  • Include the proposal in the annual events program or other program delivery, where appropriate.
